What is Gutenberg Open Science?

Gutenberg Open Science is the repository for open access publications and open research data at Johannes Gutenberg University.


What does Open Access mean and why should I publish on Gutenberg Open Science?

Open Access describes the goal of making knowledge and information accessible and reusable for users in digital form without financial, technical or legal barriers. Open Access publications are publications that are publicly accessible on the Internet and can be read, downloaded and reproduced in full text without restriction and at no cost to the user. This improves the access to information and the transfer of knowledge.

If you publish Open Access:

  • your research results flow directly into the further research process and into the scientific discussion.
  • you increase the visibility of your publication.
  • you will be cited more frequently.

The JGU Open-Acces-Policy calls on scientists to make their research results available primarily through Open Access, provided that a scientifically suitable Open Access medium is available.

To ensure complete and clear attribution of publications to their authors and institutions, as well as the associated publicity and recognition of their achievements, we recommend following the JGU publication guidelines


Who can publish on Gutenberg Open Science?

Publications by members of JGU can be accepted as well as publications produced while working at JGU.


Which publications can be included on Gutenberg Open Science?

Publications:

  • Monographs
  • Edited volumes
  • Dissertations
  • Habilitations
  • Journal articles
  • Book chapters
  • Research reports/working papers
  • Source editions
  • Musical notation
  • Data papers
  • Other type

Master's theses can be included in Gutenberg Open Science in exceptional cases and on the special recommendation of the supervisor. This is done by an informal email (stating the title and author of the thesis) from the supervisor to: publikationssysteme@ub.uni-mainz.de

We do not publish bachelor theses or term papers.

Which requirements must my publication fulfill?

The following requirements must be met in order to be published on Gutenberg Open Science:

In general:

  • The author assures that the publication does not violate the rights of third parties and assumes liability for the content of the document in the event of damage.
  • The intellectual property of others is identified as such. Received ideas and quotations are identified as such.
  • In the case of figures, illustrations and tables from other media, the author must have the consent of the copyright holder for publication.
  • The author agrees that the publication may be made permanently freely available on the basis of the specified licenses.

Publications in particular:

  • The work is complete and meets the usual standards for scientific publications in its external form.
  • The work meets the generally recognized scientific quality criteria.
  • The PDF file must contain the Creative Commons (CC) license or information about other rights of subsequent use. In the case of original publications and accepted versions, this information is inserted by the authors; in the case of publisher PDFs, it is usually inserted by the publisher (please do not edit these).

Which file formats are supported and how large can my files be?

If you publish in the collection "JGU-Publikationen" or "JGU-Hochschulschriften", the main file of the publication must always be uploaded in PDF format. This rule does not apply to the "JGU-Forschungsdaten" collection.

What does the University Library do and are there any costs involved?

When publishing on Gutenberg Open Science, the following services are provided by the University Library:

  • Revision and enrichment of the metadata according to recognized standards.
  • Assignment of permanent Internet addresses (DOI and URN).
  • Secure storage (and availability) for a period of at least 10 years, guaranteed by the technical operator of the server.
  • Provision of the document and metadata for searches and downloads.
  • Transfer of metadata to scientific search services via technical interfaces.
  • Advice on all related questions.

These services are free of charge for authors.


What does "content indexing" on Gutenberg Open Science mean?

A content description is created for all documents. The following options are available for this purpose:

  • Abstract for each document in German and/or other languages
  • Subject assignment of the document to the classes of the DDC classification

The content description is entered in the input form by the authors and is not edited by the University Library.


How do I have to proceed to publish my documents or research data?

Please follow these steps:

  • You can find the Gutenberg Open Science repository at https://openscience.ub.uni-mainz.de/.
  • Log in with your university account.
  • Go to "My Open Science" user profile button
  • Click on the square button with the plus sign new submission button and select the collection:
    • For dissertations, habilitations and master's theses: "Johannes Gutenberg University Mainz > JGU-Hochschulschriften".
    • For publications: "Johannes Gutenberg Universität Mainz > JGU-Publikationen".
    • For research data: "Johannes Gutenberg Universität Mainz > JGU-Forschungsdaten".
  • In the window that opens, you can describe and upload your submission step by step.
  • You confirm the deposit license and the protection of third-party rights by clicking on the checkbox "I confirm the license above" and then "Deposit" the publication. We would like to point out that only the German text is authoritative for the granting of rights and the English text is for guidance only.
  • Please check your JGU mailbox regularly until publication on Gutenberg Open Science so that you can respond quickly to any queries. After completing the publication process, you can download the deposit license under "My Open Science". You can find the license of a publication you have published under "Files" -> "License bundle"

What do I confirm with the deposit license?

  • You grant Johannes Gutenberg University (JGU) Mainz the right to make the document publicly accessible for free use on the Internet.
  • You declare that the publication does not violate the rights of third parties. In particular, you confirm that co-authors and other persons involved have confirmed to you in writing that they agree to the publication on Gutenberg Open Science.
  • You declare that the persons involved (dean, reviewers, other persons involved) have given you their consent to process their personal data (attribution).

How long will my publication be available online?

All publications and research data are made available online on Gutenberg Open Science for a period of at least 10 years. In addition, long-term archiving is carried out in cooperation with the German National Library (DNB). This service is free of charge for you. You give us your consent to the storage of data by the DNB and to any necessary technical data migrations with the deposit license. You can find more detailed information on this on the page Rights notices and licenses.

Can publications that have already been published be blocked or deleted?

Once documents have been published and released, they can only be blocked or deleted in exceptional cases (especially in the event of legal obstacles). The corresponding blocking form is available on request at publikationssysteme@ub.uni-mainz.de. Any costs incurred for deletion are to be borne by the authors.

Please note: Publication on the Internet cannot be completely removed. The texts may already have been saved by other users.


Can the publication of a dissertation be postponed to a later date?

You can submit an application for postponed publication of a dissertation. Complete the embargo form (in German) and have it signed by the supervisor and the dean.

An embargo period defines a time frame in which the dissertation and its metadata have already been uploaded to the system but are not yet available for viewing or downloading.

Please upload your dissertation to Gutenberg Open Science and enter in the "Your message" field that the work should be embargoed and for how long. We will archive your work in a secure area. Submit the two printed copies and the application at the same time.

Please note: The extension of the deadline must be reported at least 4 weeks before expiry, otherwise it will be automatically unlocked!


Can I impose a time embargo (embargo period) on my research data?

An embargo period defines a time frame in which the dissertation and its metadata have already been uploaded to the system but are not yet available for viewing or downloading. An embargo can be used if research data is to be published with a time delay (e.g. as part of a peer review process, to meet publisher requirements or for data that has not yet been fully analyzed).

You can easily enter the embargo period yourself during the upload process. This embargo period applies to the entire data set (research data + metadata). If you have any questions about this, please contact us: publikationsdienste@ub.uni-mainz.de

What if I want to publish a revised version of my publication or my data?

A revised version of a previously published document is made available as an independent publication on Gutenberg Open Science. However, you can refer to the previous version in the metadata of the revised version in the "Relationship" input field by selecting the relationship "IsNewVersionOf" and specifying the DOI.


How is Gutenberg Open Science technically implemented?

The technical realization of Gutenberg Open Science is based on DSpace, an internationally popular open-source software for publication and data repositories.
